Sponsor Site System (SPS)/Edlink Ops

The Sponsor Site System (SPS) database is a primary database within the Louisiana Department of Education (LDE). It contains basic information on the public and nonpublic elementary and secondary educational facilities, post-secondary educational institutions and other non educational facilities.

 

When SPS Data Is Collected: SPS data are collected/updated throughout the school year. The major SPS data collection period begins April 1 for identifying updates for the following school year (new schools, closed schools, school configuration changes) and ends mid-July.  SPS data should be certified by early September.

 

How SPS Data Are Used: Data are used to link major data collection efforts of all LDOE application systems.   Data is also used to create the Louisiana School Directory which includes a listing of all LEAs, schools, and their demographic information.

Timeline

·        April 1, 2026 – School system can submit requests through Edlink Ops portal

·        June 1, 2026 – Edlink Ops-SPS Academic Year Rollover 

o   Changes cannot be made before this date

·        June 3, 2026 - Approved requests will begin being implemented in Edlink Ops and Legacy SPS.

o   Edlink Ops and Legacy SPS sync nightly. 

·        July 15, 2026 - Deadline to request a new site code or closure to an existing site code.

o   This deadline includes superintendent/head of school system’s approval in the portal. 

·        August 5, 2026 - Deadline to request changes requiring LDOE approval 

o   This deadline included superintendent/head of school head of school system’s approval in the portal.

FAQs

·        What if my site has multiple site codes?

o   There is a field named “Additional Site Codes” in on the Site Information Page to include any other site codes that may need changes applied. This would be most applicable for charter schools with both a 3- and a W-code, but many school types may also have additional site codes. 

o   If your school has multiple site codes please include the alternate codes in the field mentioned above. 

·        What if our new/change/closure request won’t be approved by the school board/official until after the deadlines above?

o   This happens and we understand that competing timelines exist. We are typically able to accommodate one off special cases like this, but only if given notice. If you are concerned that you won’t have final approval from the district by the deadlines set above, please create a ticket through LDOE’s Data System Support portal for next steps. We have the deadlines set because of reporting deadlines needed for the beginning of the academic year so we need as many completed by early August as possible, but we can work on individual special cases. 

·        What if I am logged into LEADS, have SPS access, but when I click on SPS nothing happens?

o   Please note that Sponsor Site has been transitioned to the new Edlink Ops Portal

o   This is a very common issue that happens when browsers update. They will remove all or some of the sites on the approved to send pop-ups list. Go into your browser settings and add the links below to your “allowed to send pop-ups” list. This happens because SPS opens as a new page and most computers flag that action as a pop-up.
